About File Manager

 

File Manager allows hosted RMS users to upload their Unit Photos, Attachments, Online Content and Custom Letters as well as retrieve or download reports from Exports.

 

How to user File Manager

Log into File Manager by going to resortpilot.com and clicking on the icon File and Photo Manager in the Web Services portion of the page. 

 

User name

Enter the company user name.  This is a user name unique to File Manager and is not the same user name as your Remote desktop.  If you do not know your user name, your Company Administrator contact can request it from RMS.

 

Password

Enter the password. If you do not know the password, your Company Administrator can request it from RMS.

 

Unit Photos

 

The acceptable file types are .jpg, .bmp and .gif.

It is recommended that Unit photos be stored in separate directories named after each unit.  For example, a sub directory or folder titled Unit 101 would have all the pictures for Unit 101 in it and it would be named Unit101 (no spaces).

 

Create a Folder or Directory

To create a folder named after the unit click on the icon to the right that has a green plus sign. Enter the name and click OK. 

 

Change Folder or Directory

Click the directory or folder and a Select Action menu appears.  From this menu choose, Change directory.  The name of the directory will appear in the blue title bar, for example /newdirectory. Now you can begin uploading the pictures for the created directory. To exit the folder or directory click the “^” caret symbol above the first file listed in the open directory.

 

Upload Photos

On the 'Unit Photos' tab, click on the Upload' button and browse to the location

of the photos on your computer (with Java, you may highlight up to 5 files to upload at a time. With PHP method you must browse to photo, select, click open and then browse to next photo, select, click open. You may choose 3-5 photos). ** Note that photos must have a minimum resolution of 640X480, Photos that do not meet this minimum requirement will be distorted when imported into RMS. **

Click on the OK button to start uploading photos.

 

Import Photos

In RMS, go to Files > Unit File > [choose unit] > click on the 'Edit' under 'Unit Photos' (bottom left).

Click on the 'Import' button (lower right) and select the photo (uploaded in File Manager ) that you would like to import.

 

Custom Letters

Choose the Custom Letters tab to upload a custom html letter to File Manager.

The file types accepted are .txt, .htm and .html.

Select the upload icon and browse to the file/letter on your pc.  Select the letter.

Click Open on your pc, then OK in File Manager.

 

Assigning a Letter

You can assign the letter you uploaded by logging into your RMS.  Next go to Utilities>User Designed Letters.  Choose the letter you want to work with.  Choose source to select the letter you uploaded using File Manager.  Click OK to save your assignment.

 

Attachments

Choose the Attachments tab to upload a .pdf file.  Attachments can be associated with emails in user designed letters.

 

Online Content

Choose the Online Content tab to upload files such as .gif .bmp .jpg or .pdf that will be viewed online such as any graphics used in your letters, for example your company logo.  A file may be uploaded to the Online Content folder and then the link to the file may be copied to a letter. You can also store links in a data field and use the merge code for that data field to populate a letter.  An example of this would be using a field in the Unit Inventory File to store a link to the .pdf “Directions Link

 

Exports

Choose the Exports tab to retrieve files that you exported from RMS.

Choose the file you want to export.

Select Action download to download the file to your pc.
