This option will assign a sales agent to upcoming reservations. This option is only needed if you are using the Sales Agent Contact Report. Refer to this report and the File Maintenance, Sales Agents section for further information as to whether you want to use this option.
After choosing this option, the system will ask for a range of arrival dates and then on a rotation basis assign the matching reservations a sales agent. The rotation always starts with the next agent due a reservation (the system remembers from the last time this option was run, the first time used it would start with agent number 1) assigns them the reservation, increments the sales agent by one, assigns the next reservation, etc. If the next sales agent number does not exist, the system starts back at agent number 1 and continues. This process continues until there are no more reservations to assign. An exception to this rotation is when an owner reservation comes up for assignment. The system will automatically look in the owner file and see if an agent has been assigned to the owner. If an agent has been assigned, that agent will be assigned to the owner reservation and the sales agent in rotation would get the next reservation. This ensures that an owner is always contacted by the same agent. If the owner was not assigned an agent (it is blank), the current sales agent in rotation will be assigned. The system will skip an agent that has been denoted as inactive.
