Assigning Rates

 

Once you have defined a seasons record and an accompanying rate record, you may assign these to units, charges, discounts, equipment and recurring fees.  The default, or Standard season, is assigned with the Seasons Information Screen, which is one of the options in the Control File menu.  This screen will display the three active years and their current Standard seasons.  A [Show seasons] button will display the details of the seasons for the three years.  A click in the left portion of the text box will present a [Select] button from which you may choose the Standard season.  The [OK] button will update your record and the [Cancel] button will exit the screen without saving any changes.

 

     For units, rates are assigned in either the Unit Rates screen or using the Rates and Seasons tab of the Unit File.

     For equipment you will assign the rate in the Equipment file using the Rate Table when you create the equipment item or afterward.

     For recurring Fees, assign the rates in the Recurring fees file using the Rate Table

     For charges assign the rates using the Rates Table in the Charges file.

     For other charges you want to automatically charge to a guest reservation, use the Control file, Commissions, Taxes and Charges, screen #2.  You may also assign charges uniquely in the Unit file.

 

Assigning units a rate:

If you use the Rate Definition File screen, create or call up the rate record you wish to use.  Then choose the […] button, which will display to the right of # of units using (this rate ).   A pop up window will display of Units assigned to x Rate.  The list of units already assigned the rate will list in a column in the left hand side of the box.  To add a rate click the down arrow Ú on the Search box and find the unit to assign the rate to.  Continue assigning the rate to all units that will use it.  Be sure the [ ] Standard rate check box is checked.   Click [close] when finished.  Click OK to save the changes.  The number of units using quotient should reflect how many you added to the list. 

 

If a unit no longer uses a rate click the  […] button, which will display to the right of # of units using (this rate ) and highlight the rate you want to take off the list. Click remove, and then click [close]. 

The second method of assigning rates is with the Unit File, screen #2.  You will see text boxes for Standard and Other rates for each of the three active years.  You may click down arrow Ú to the right of a text box to pop the window for assigning a rate.  Only one Standard rate may be assigned, but several Other rates may be assigned to each unit.  These will be separated by a "[ " in the text box.  When finished, choose the [Close] button at the bottom of the pop up window and then click OK to update the unit record.
