Chart of Accounts File Menu

 

This screen allows you to:

Enter new chart of accounts or edit an existing chart of accounts’ information.

 

Before you begin:

Choose the Chart of Accounts File option from the File Maintenance Menu.

The chart of accounts file is used to store the accounts used by the general ledger.  General ledger transactions are posted to these accounts during the Post Transactions option on the General Ledger Menu.  Certain accounts must be established in order to use the general ledger properly; these accounts are listed in the General Ledger section of the Concepts chapter.  All balances for the accounts are updated by the system and cannot be directly changed.

[Search] Enter the GL account #, Go, [Budget] account, or [Exit]:

Enter the chart of account number of the account you wish to find and click "Go"  to find the chart of account number whose information you wish to change or the record you want to work with.

 

Show all:

          Click the "Show all" button to select from the current list of accounts on file.

 

Budget:

Click the "Budget" button to work with the budget chart of accounts.  A new screen will open where an account on file may be selected and dollar amounts entered for each month.  RMS automatically calculates quarterly amounts.

New:

          Click New to create a new account.

RMS will automatically assign an internal ID number.  You may change this if desired.

 

Enter description:

Enter the description for the chart of account.  This description will be printed on most financial reports.  You are allowed up to 30 characters.

 

Select type:  Income, Expense, Current Asset, Long Term Asset, Current Liability, Long Term Liability, Equity, Current Earnings, Retained Earnings

Enter the account type.  Valid types are an income account, an expense account, a current asset account,  a long term asset account, a current liability account, a long term liability account, an equity account, current earnings account (do not use this account type, it is automatically used by the system) and the retained earnings account (only one retained earnings account should be used).

 

[OK], [Cancel] or [Delete]:

Click on [Cancel] to abandon any changes made to this chart of account.  If a new chart of account was entered it will not be placed into the system if this option is chosen.

          Click on [Delete] to delete this entry.

Click [OK] to update any changes made to this chart of account.  This option saves a new chart of account or any changes made to an existing chart of account.

The system will return to the first prompt after choosing [OK], [Cancel] or [Delete].
