Before you begin:
This report is found on the 1099 and Unit Totals Reporting Menu Located under Owner Reports off the RMS Main Reports menu.
This option allows you to create a file for the United States Internal Revenue Service
This process creates a file in your RMS directory named "IRSTAX". After you have created the IRSTAX file, copy it to another drive as a back up and onto external media such as a CD or flash drive if you want to mail it that way. You may be able to e-mail the file. Follow the IRS current instructions on Magnetic Media. One way to copy your file is to do this is through your Windows Explorer. Navigate to the RMS directory in your Windows Explorer program and highlight the "IRSTAX" file. Select ‘Edit’ from the Explorer Menu and choose [Copy]. Then go to your other disk drive and choose [Paste] from the Windows Explorer menu. In order to file with the IRS this way you must get a magnetic media filing number prior to creating the "IRSTAX" file. Your magnetic media filing number is stored in the Control File on the Company Information screen .

1099 to print:
‘Include All’ is the default option or you can print just 1099’s for owners by clicking ‘Unit’ or just Vendor 1099’s by choosing the ‘Vendor’ button.
Print Federal ID:
Choose ‘Yes’ to include the federal identification number on the 1099 or ‘No’ to leave it off.
Print SSN < $600:
Choose ‘Yes’ if you want to include 1099’s for the 1099’s that refer to earnings less than $600.
Year Reporting:
RMS will default to the current year.
No Print 1099’s:
N/A – this option is not applicable.
Exit or Continue:
Click [Exit] to escape the process or choose [Continue] to tell RMS to generate the IRSTAX file.
Company Name:
RMS automatically inserts the company name from the Control File. You cannot change the company name in your system without first calling AMS, Inc. (800) 366-5152. If you try to change the company name without an approval code your system may be shut down until a code is entered.
Mailing Address:
RMS automatically inserts the address information from your Control File. This information may be edited.
Type of Report:
[Original], [Replacement], [Correction]
Choose the appropriate type of report. Original is the default unless changed.
Contact Name:
Type in the name of the person the IRS should contact with questions about the file.
Contact Number:
Enter the telephone number to reach the contact person.
Replacement Code:
If the file is a replacement for a previously submitted file that was damaged or corrupted, enter the code given to you by the IRS indicating it is a replacement file.
