Cross References Screen 1

 

This screen allows you to:

Change the Control File settings shown.

 

Before you begin:

Choose the File Maintenance option from the Main Menu, and choose the Control File option. Then choose the Cross References option.

 

There is usually no reason for anyone to modify the values on this screen.  The primary function of this screen is to enable Advanced Management Systems access to this information if necessary.

The first item on this screen is different from the rest and is explained below. 

 

The rest of this screen is used to disable certain words or codes (used internally by the system) from being referenced.  Common words such as Mr. and Ms and middle initials do not need to be referenced for name look-up.  This screen tells the system which common words, letters or codes to not reference.  The common words and disabled codes are preset into the system when installed.  In most cases there will be no need to modify the values on this screen.  You may notice that it takes a long time to update a mail entry with a common first name, such as John (this should only be true if you have several thousand with the same name).  You could add the problem name (John) to the mail list XREFS and the system would disable the referencing of that name the next time the cross reference file is rebuilt.  Once again, you should not have much cause to change information on this screen.

 

To add items to a list, click on the field of the item you would like to modify, use the <Enter> key to progress through the list until you are at an empty entry area, enter in the new value, press <Enter>.  Continue in this manner if you wish to enter more and another empty entry area will be shown, or press <Enter> when you are finished. You will be asked to "Confirm update of this field" [Yes]  or [No].  To make your changes take effect update by clicking [Yes]. To abandon your changes click [No] and [Exit].

 

To delete an item from the list, click on the item and use the [Enter] key to progress through the list until you are at the item to delete.  Press <Delete> to delete the item, and then <Enter> to the next item or <Enter> when finished.  Update your changes or quit to abandon your changes.

Auto Display Mail XREFs if # Found:

This field tells the system when to display a list of found names verses prompting for a zip code entry to reduce the number of names found.  If the number of matching names is less than the number entered here, then the names will be displayed.  If the number of names is greater than the number entered here, then the "Enter view list...." prompt will be asked.  Normally this option is set to ‘15’, one screen full of names.  Refer to the Mailing List File on the Files Menu for further information.

 

Agent XREFS:

This is the list of words, letters and codes to disable in the sales agent cross reference file.

 

Amenities XREFS:

This is the list of words, letters and codes to disable in the amenities cross-reference file.

 

Characteristics XREFS:

This is the list of words, letters and codes to disable in the characteristics cross reference file.

 

Chart of Accounts XREFS:

This is the list of words, letters and codes to disable in the general ledger chart of accounts cross reference file.

 

Credit Card Charge XREFS:

This is the list of words, letters and codes to disable in the credit card charges cross reference file.

 

Equipment XREFS:

This is the list of words, letters and codes to disable in the equipment ordered cross reference file.

 

Mail List XREFS:

This is the list of words, letters and codes to disable in the mailing list cross reference file.

 

Owner File XREFS:

This is the list of words, letters and codes to disable in the owner cross reference file.

 

Package XREFS:

This is the list of words, letters and codes to disable in the package cross reference file.

 

Reservation XREFS:

This is the list of words, letters and codes to disable in the reservation cross reference file.

 

Archived Reservation XREFS:

This is the list of words, letters and codes to disable in the archived reservation cross reference file.

 

Deleted Reservation XREFS:
