Front Office

RMS Housekeeping module allows the front office to retrieve a Unit’s Clean Status from the Reservation View screen.

Before you begin:

The Housekeeping module must be activated and Operator must have access.  If access is denied please have your RMS adminsitrator contact RMS technical support.

Reservation View

Retrieve a reservation.  From the Reservation View screen, go to the Maintenance/Clean Status drop-down menu.  Each option has subvalues or comments that may be defined by the RMS User to help detail the status and add a predefined comment code to it.

Choose Manage Unit Clean Status to view the Units Clean Status, Change the Units Status, Enter a note, or use Clean Text to text guest when unit is ready for check-in.

Select from the list of options:

[Clean] [Dirty auto] [Manual Dirty] [Occupied] [Unavailable] [Seasonal] [Notes] [Guest] [History] or [Exit]:

These are examples of the unit cleaning status options.  When the status of a unit is changed the system will automatically update the last status change date.  The change entered will be displayed. Make your status selection.  The normal basic sequence used is clean goes to occupied, occupied to dirty and dirty to clean.  For example, if the current status is clean and the unit is chosen the basic status would usually change to occupied. 

When changing the status to clean the system will ask for the actual crew.  Press <Enter> if the crew shown is correct or enter the correct crew.  This information can be used to determine the last crew that cleaned this unit.  The comment field will be set to blank.

[Dirty auto]  The system will prompt for the comment type for the dirty status.

[Dirty manual]  The system will prompt for the comment type for the dirty status.

[Occupied]  The system will prompt for the comment type.

Click [Unavailable] to set the status to unavailable.  You must then enter a reason for the unit being unavailable in the note field that becomes available. 

[Seasonal] usually means that a special treatment has been performed to the unit that must be undone prior to occupancy.  For example, a unit could be winterized to prevent the plumbing from freezing and must be dewinterized prior to occupancy.  A seasoned status does not affect reservation processing.

Click [Notes] to enter a note to view on this screen for this unit.  You will be prompted for the note.  This is not a clean status and does not affect the current clean status of the unit.   This is only a note for this screen when viewing the unit on this screen.  This is not a unit note of the type that can be used during file maintenance of a unit.  This note is removed automatically when the unit status is changed to occupied.Past notes may be viewed in [History].

Click [Guest] to select a control file defined guest option.  A List Display of the valid guest options will be displayed.  This is not a clean status and does not affect the current clean status of the unit.  This information is removed automatically when the unit status is changed to occupied.  This option must be chosen to text guest.  See Texting.

Click [History] to view the history clean status transactions for the entered unit.

Click [Exit] to exit this prompt and return to the first prompt for this screen
