Giving the Key Code to Guests

 

The key code may be communicated to the guest by putting the merge tag **R:KEY.CODE** in the Final Instructions letter or a custom Reservation Form letter.  Typically you would not share the code with the guest until the final balance is paid.  The Final Instruction Letter may be sent to reservations arriving on a specific date or within a range of arrival dates you enter.  You may also print or email a Final Instructions letter for a specific reservation.

To print Final Instructions Letters

Go to Reports >Final Instructions Letter

Print [Letters]

Select [Letters] to print only the Final Instructions Letter.

 

Process [All] resv. or enter Resv. :

When you select [All] you may print all qualifying reservations for the dates entered. 
If you do not want all, enter the number of the reservation to print.

 

Enter Beginning Date for Report or select [Current] if Current Date:

Enter the first arrival date to print.  You may press [Current] and [Same] if the first arrival date and the last arrival date are the same as the current date.

 

Zero balance required?  [Yes] or [No]:

Select [Yes] to only print letters for reservations that have paid all amounts owed.

Select [No] to print letters for both unpaid reservations and those paid in full.

Print only not printed?  [Yes] or [No]:

Select [Yes] to only print what has not printed before.

Select [No] if you want to print new final instructions letters regardless if they have printed before.

Require GLA reconciled?  [Yes] or [No]

Select [Yes] to print letters only for reservations whose guest licenses have been reconciled.

Select [No] to print letters for reservations regardless of GLA reconcile status.

Letter Output? [Print all] [Primary contact]

Choose how you want to send the letter.  If you want all the letters printed choose [Print all]

To use the primary method of contact which is determined in the mail file, choose primary method of contact and the letter will be emailed or printed depending on the guest preference.
