How do I change a security deposit for a long-term reservation?

 

Go to Reservation Maintenance from the Reservation View of the reservation whose security deposit you want to change.  From Reservation Maintenance, choose Add/Change/Delete Security deposit.  Adjust the security deposit as needed.  Enter operator initials and click “OK” to save.  This change only affects the reservation entered.

The long-term rental option in RMS requires you to create a Tenant record for the person staying in the long-term rental unit.  You enter the unit number and it must be a long-term type unit or handle both long and short-term reservations.  The beginning date and departure date of the stay is entered on this record.  When you process the tenant record a reservation is booked for each month the tenant is staying.  If the unit that the tenant is staying in has a security deposit, the security deposit will be charged to the LAST reservation during the stay.  When the tenant gives you the security deposit you would post it to the last reservation booked.  The amount of the security deposit is stored on screen #4 of the unit file

 

If you do not have a value in the security deposit field that is on screen #4 of the unit file when you process the long term tenant reservation, the last month will not be charged the security deposit.  If you want to charge a security deposit first enter the amount that you want to charge for a security deposit in the unit file, screen #4 BEFORE you book the reservation.  Now the security deposit is posted to the last month.  The next long-term tenant that rents that unit will automatically be charged the security deposit that is now stored in the unit file. RMS will automatically charge the security deposit to the last month of a long-term stay, as long as there is an amount in the unit file.
