Mail Information

 

 

This screen allows you to:

Change the Control File settings shown.

 

Before you begin:

Choose the File Maintenance option from the Main Menu, and then choose the Control File option.  Choose the Mail Information option.

Unlike other sections of this chapter, each screen item description will be discussed instead of each prompt.  This is a slight variance from the normal explanation method and is done due to the uniqueness of the control file options. 

Name Prefixes:

Enter the abbreviations for courtesy titles that you might be using with names such as:  Mr., Miss, Mrs., Dr. or Sr., Jr. and any others.  Press <Enter> after each one.  Click [Done] when finished.  The [Show] button lists the titles you have entered.

Valid Fulfillment Codes:

These values are determined by you and allow you to enter your code when creating a mail entry for reservation of inquiry.  The code can then be printed on your mailing labels to indicate to marketing what to put in the envelope for this person.  For example, 1 may indicate a brochure needs to go out to this person, and sales may indicate a complete sales packet should be sent. 

Reservation Fulfillment Codes A Reservation, etc....

These fields are the default fulfillment codes for the different types of reservations.  Each type of reservation can be assigned a default fulfillment code.  The system has the ability to print a fulfillment code on the mailing label (there is a control file option that controls whether it is printed).  These codes could be used to pass information, such as what is to be mailed, to the person printing and applying the mailing labels.  When making a reservation any values entered here would be automatically put into the fulfillment code field.  It is not required that these fields be used.  The fulfillment code value can be modified when the reservation is entered.

 

Mail List Fulfillment Codes File Maintenance, etc....

These fields are the default fulfillment codes for the different places a mailing list entry can be entered or created in the system.  Each place a mail entry can be made can be assigned a default fulfillment code.  The system has the ability to print a fulfillment code on the mailing label (there is a control file option that controls whether it is printed).  These codes could be used to pass information, such as what is to be mailed, to the person printing and applying the mailing labels.  When making a mailing list entry any values entered here would be automatically put into the fulfillment code field.  It is not required that these fields be used.  The fulfillment code value can be modified when the mail entry is entered.

Make mail fulfillment code required:

Click [Yes] to require a fulfillment code when creating a mail entry.

Click [No] if you do not want to require a fulfillment code when creating a mail entry.

Mail file level codes:

This is a multi-valued field.  Enter the valid codes that may be used for the level code in the mail file.  A mailing file level code could be used to denote, for example, a 1 being a good address and a 9 meaning do not mail to this address.  These codes would primarily be used when using the Report Generator.

Level descr:

This is a multi-valued field that corresponds to the above entries.  The description for each code is entered in this field.  Using the above example you would enter, OK and NOMAIL.

Level defaults:

This field establishes the default for the mailing level for the different type of reservations and places where mail entries can be entered.  These defaults will automatically be used and can be overridden at reservation or mail entry time.
