Misc. Data Screen #2

 

This screen allows you to:

Change the Control File settings shown.

 

Before you begin:

Choose the Files option from the Main Menu and then choose the Control File option.  Choose the Miscellaneous Reservation Data option and click [Screen2] to go to screen two.

Unlike other sections of this chapter, each screen item description will be discussed instead of each prompt.  This is a slight variance from the normal explanation method and is done due to the uniqueness of the control file options. 

 

Item Descriptions...

 

Ask problem given to when Entering WO:

When logging an initial work order this value determines if the system is to ask the Problem Given To prompt.  Set this field to ‘No’ if you do not want to ask the Problem Given To prompt when a work order is entered, otherwise set this value to ‘Yes’.  If you generally know who is going to perform the work when you enter in the work order (Log Initial Work Order on the Maintenance Menu) then you would want to set this to ‘Yes’.  If you prefer to assign the work when acknowledging the work order (the most common method) set this option to ‘No’.  If set to ‘No’ the operator does not have to tell the system who will be performing the work for the work order when the work order is initially entered.

 

Ask Operator Initials at Resv/Inq time:

Set this option to [Yes] if you want the system to prompt for the operator initials each time a reservation or a mail entry is made.  This is the normal setting if many different people use the same workstation to enter reservations and mail inquiries.

If you set this option to [No] the system will not prompt for the operator initials when a reservation or mail entry is made.  This option is often used when you don’t care about the initials or workstations are normally used by the same person during the course of a day.  The system remembers the last operator initials and will use them until they are modified.

 

Allow Gross Override at Reservation time:

The system will automatically calculate the rate for a reservation based on the rates in the Unit File.  If you do not want the operator to have the ability to override the calculated rate, enter [No].  If you want to be able to override the calculated rate, enter [Yes].

 

Ask Operator Initials at Payment Received time:

Set this option to [Yes] if you want the system to prompt for the operator initials when you post a payment in the Payment Received option on the Reservation Menu.

Click [No] if you don’t need this option.

 

Ask Operator Initials at Owner DB/CR:

Set this option to [Yes] if you want the system to prompt for the operator initials when you post an Owner Debit or Credit from the Accounting Menu.

Click [No] if you don’t need this option.

 

Ask Operator Initials at Acct Work Order:

Set this option to [Yes] if you want the system to prompt for the operator initials when you enter an Accounting Work Order.  Accounting Work Orders post a transaction on the owner statement.

Click [No] if you don’t need this option.

 

Ask Operator Initials at Resv Change:

Set this option to [Yes] if you want the system to prompt for the operator initials when change a reservation via the Reservation Change or Cancel option on the Reservation Menu.

Click [No] if you don’t need this option.

 

Add GLA to Non-processed for Change Resv.

If you want to add the guest license agreement to the non-processed reports when a reservation is changed, set this field to yes.  If you do not use the guest license, or you do not want a new guest license when a reservation is changed set this field to no.  Only if the guest license is set to print on the control file option Report Status Code Assignments, will this option be used.

 

Archive cancelled resv equipment items:

If set to [Yes], the equipment items ordered for a cancelled reservation will be stored in the archive file after the cancellation. 

If set to [No], the items will be deleted.  A booked tee-time that is defined as equipment will always be archived.

 

Convert auto city lookup to uppercase:

Click [Yes] to convert city name to uppercase when auto zip code lookup function is used.

Click [No] if you do not want to convert the city to uppercase when the auto zip code lookup function is used.

 

Unit Deck Field label :

This setting allows you to change the label located in the Unit file underneath the Rental Status field  label.  The default label is "Deck".

 

Allow Early Arrival and Late Arrival:

Click [Yes] to allow an early or late arrival to be booked in the system.

Click [No] if early and late arrival may not be booked.
