Notes Information Screen 1

 

This screen allows you to:

Set up category codes, a description and status of your notes throughout the system.

Create categories to help control when a note is displayed.  Different categories can be assigned a critical status as the default status when created.  Screen 2 of Notes Information has many settings to designate that a certain category of note may be associated with an event.  For example a Reservation notes category, VIP, whose description is "Very Important Person" can be designated to print on the arrival listing if VIP is assigned in the field "Resv cat’s to print on arrival listing". 

 

Before you begin:

Choose Control File from the Files Menu.  Then select Notes Information.

 

Resv notes category codes: 

Default categories should be set up in your notes system.  To create a new category, enter through the existing categories until the cursor is flashing in a blank text box.  Type in the new category, and then press <Enter>.  Press <Enter> into a blank text box to finish.  The system will step to the next prompt.

 

Resv notes category description:

Default category descriptions should be set up in the Notes file to match the categories.  If a new category is entered a new description must be entered.  The number of categories and descriptions must match.

<Enter> through the existing category descriptions until the cursor is flashing in a blank text box.  The corresponding (to the left of the text box) label should reflect the new category just created.

Type in the new description and press <Enter>.  Press <Enter> into a blank text box when completed.

 

Resv notes critical status:

A critical status will make a note display when the reservation record it is attached to is viewed.

If a note is noncritical it can always be viewed by clicking the [Notes] button and selecting Maintain and [View All]

Answer ‘Y’ for Yes or ‘N’ for No regarding the default status for a reservation note category as it is prompted in the label field.

 

Mail notes category codes:

To create a new category, enter through the existing categories until the cursor is flashing in a blank text box.  Type in the new category, and then press <Enter>.  Press <Enter> into a blank text box to finish.  The system will step to the next field prompt.
