Package File Menu

 

This screen allows you to:

          Enter new packages or edit existing package information.

 

Before you begin:

          Choose the Package File option from the Files Menu.

The package file can be used when making a reservation to adjust the rental rate by a percentage, include amenities or include equipment.  A package may increase the rental rate, decrease the rental rate, or have no affect on the rental rate.  Amenities can charge the reservation based on the number of adults, number of children or a charge per reservation.  Equipment can charge the reservation based on the duration of the rental.  Any type of package can be created and sold, i.e.. Honeymoon Package, Golf Package or 4 Nights for the Price of 3 Package.

Search, Show All or New [Exit]:

Enter the Package ID to search for and click the "Go" button or click "Show all" to select from a list of packages on file. 

Click the "New" button from the top tool bar to create a new package.

 

Package ID or [Exit]:

Enter the package number or ID of the package you wish to add to the system.

          If you enter a new package number the following information is requested.

Click [Exit] to not create a new package and return to the File Maintenance Menu.

 

Description:

Enter the description for the package.  This description will be printed as part of the package description.  You are allowed up to 30 characters.

 

Category:

          Enter a category.  This assists you in grouping multiple package/promotions.

 

Package Letter:

            Select from a Custom Letter on file.

 

Rate/ Cost Options

Rate percent:

Enter the rate percentage.  The gross rental rate calculated at the time of the reservation will be multiplied by this percentage.  Any percentage rate can be used.  For example, enter ‘1.0’ to not change the rental rate, enter ‘0.5’ to reduce the rental rate in half or enter ‘1.5’ to increase the rental rate by half.  Enter the percentage you wish to use.

 

Use Rate Record:

To assign a particular rate to always use with this package, click in the check box.  The rate must then be created and attached to the package in the Package Rate File.

 

Year Discount:

Select the yearly discount rates for each of the three years RMS is tracking.  Discount rates are created in the Discount Rate file located on the Rate Definition menu.  You cannot use the rental rate discount and the yearly discount rates together.  You must only discount using one of these methods.

 

Enter amenity #:

Amenities are not required, you may add several or as few as needed to create the package.  Amenities are established using the Amenities File option on the File Maintenance Menu.

          Select the amenity you wish to use in this package.

         

Enter equipment #:

Equipment is not required.  Equipment is established using the Equipment File option on the File Maintenance Menu.  Select the equipment items you wish to use in this package.

          If you do not wish to use any equipment leave the text boxes empty

 

[OK], [Cancel] or [Delete], [Show Equipment] and [Show Amenities]:

To change the information click in the text box of the item you wish to change and modify your selection.

Click [Cancel] to abandon any changes made to this package.  If a new package was entered it will not be placed into the system if this option is chosen.

Click [OK] to update any changes made to this package.  This option saves a new package or any changes made to an existing package.

Click [Delete] to delete this package entry.  You should not delete a package that is still assigned to an active reservation.

Click the magnifying glass icon, [Show Equip] to see a list of equipment assigned to the package you are viewing.

Click the magnifying glass icon [Show Amen] to see a list of amenities assigned to the package you are viewing.

          The system will return to the first prompt after clicking on [OK], [Cancel] or [Delete]
