This screen allows you to:
Book a reservation into a specific unit. You may book any type of reservation using this screen, except long term ‘E’ reservations. This screen must be used to book owner reservations, status codes ‘B’, ‘C’, ‘CY’ or ‘D’. This screen also allows you to view an existing reservation or create an entry in the mailing list file.
Before you begin:
Choose the Reservation by Unit option from the Reservation Menu. To begin booking a reservation, enter the unit number or the unit address of the unit you wish to book. To view an existing reservation, click [View]. To create an entry in the mailing list, click [Main entry]. Information on viewing a reservation and creating a mailing list entry is discussed in other sections of this chapter.

Enter unit number/address or [Select] from list, [Exit] to quit:
To begin a reservation, enter the unit number or the unit address of the unit you wish to book. If multiple matches are found for the address entered, they will be displayed on a Reference Screen. You would then select the correct unit by highlighting it and double clicking on it or highlight it and press <Enter>. Once a unit is entered or selected any qualifying notes for the unit will be automatically displayed.
You can click on [View] to transfer to the view reservations screen. Refer to the View Reservations section of this manual for further information.
Click on [Exit] to leave the screen and return to the Reservation Menu.
Enter date of arrival or [Exit]:
Enter the date of arrival for the reservation. Refer to the arrival date prompt in the Reservation by Search section of this chapter for a complete discussion of your available options.
Press <Exit> to exit this screen and return to the Reservation Menu screen.
Enter date of departure or number of nights:
Enter the date of departure for the reservation or the number of nights. Refer to the departure date prompt in the Reservation by Search section of this chapter for a complete discussion of your available options.
The arrival date and departure date cannot be the same day; also the duration of the rental cannot exceed the maximum defined in the control file. If you have a reservation for longer than the maximum defined in the control file, you must book the reservation using the Long Term Reservations option on the Reservation Menu or change the setting in the control file.
If the unit is not available, the message "Unit is not available for requested time frame." will be displayed in a reference screen as well as an availability calendar. The calendar displays the availability for the unit starting one month prior to the month of the arrival date and extending to the month after the request. The purpose of this display is so you can determine how close you are to having the requested time frame available. An owner or guest may want to shorten or change his request by a day or two in order to book the requested unit. If a unit is unavailable, " Unit is not available for requested time frame." At this point you should be able to escape by clicking the [Exit] button on the left side of the screen.
Enter status of reservation, Select from list (A,B,C or D), or [Exit]:
Reservation status codes are discussed in detail in the Reservation section of the Concepts chapter.
Select [Guest] for an ‘A’ for a standard guest reservation. Then "Enter the number of adults in party", or [Exit] prompt below will then be asked, if the prompt is set to be asked in the control file. Otherwise, the modify prompt below will be asked.
Select [Owner Booked] for a ‘B’ status or an owner referral reservation. The "Enter the number of adults in party, or [Exit] prompt below will then be asked, if the prompt is set to be asked in the control file. Otherwise, the modify prompt below will be asked.
Select [Owner] for a ‘C’ reservation which is an owner occupied or guest of owner reservation that will need departure cleaning services.
Select [Owner Clean] for a ‘D’ reservation. It is an owner occupied reservation requiring no cleaning or other services.
RMS will automatically fill in the letter.
People or [Exit]:
Enter the number of adults in the party. Whether this prompt is asked, and whether information is required is determined by a setting in the control file. If this prompt is not required, pressing <Tabr> will default the number to zero. If the prompt is not asked, the number will automatically default to zero. This number can be used by the system to calculate the amount due for packages, equipment or other charges. Refer to the Files section of these items for further information. The number of adults is also printed on several reports by the system.
You may enter [Exit] to restart this screen.
Break out number of adults and children or [Exit]:
Click the […] to enter the number of children in the party.
Minimum Nights, Check-in days: [Verified] or [Not verified]:
The allowed check-in days are set in the unit file for each unit. To override set to "not verified".
[OK] with reservation or [Exit]:
Once you have filled in all the information you may go back and make changes by clicking on the selection you would like to change.
To exit this reservation and restart this screen, click [Exit].
Click [OK]
The reservation process from this point on is the same as explained in the Reservation by Search, Screen Three section of this manual. Refer to this section for further assistance. Not all of the options explained in the Reservation by Search, Screen Three section are available for all types of reservations.
