Sales Agent File Menu

 

This screen allows you to:

Enter new sales agents or edit an existing sales agents’ information.

 

Before you begin:

Choose the Sales Agent File option from the File Maintenance Menu.

The sales agent file is used by the system when reservations are assigned a sales agent using the Utilities Menu Assign Sales Agents to Reservations option.  It is not required that you use this feature of the system.  If you wish to use this option, you must number the sales agents consecutively in order for the rotation to work correctly.  Refer to the Concepts chapter for further information.

 

Prompt descriptions...

 

   Search:

Enter a search value, such as the ID number and click GO.

 

   Show all:

This option displays a list of existing agents on file.  Choose from the select list displayed when choosing the Show all option.  Highlight the item and press <Enter> or double-click to retrieve the record.  If you enter an existing sales agent number or select it from the list the sales agent information will be displayed and the system will allow you to modify information or make inactive as needed.

  

   New:

Click "New" to enter a new sales agent.

 

Enter Signature line:

Enter the agents name on the signature line for the sales agent.  This information is required.   This information will be printed on the Prior to Reservation Memo.  You are allowed up to 40 characters.

 

Enter Written/Typed By:

Enter the identification or stenographic reference line for this sales agent, ie. JWS/ct.

 

Enter the number of letters assigned year to date:

<Enter> will default to zero.  Unless you know this number, press <Enter>.  The system will update this number when assigning reservations.

 

Enter status of [Active] or [Inactive]:

Select "Active" if the sales agent is active and should be used in the assignment rotation.

Select "Inactive" if the sales agent is inactive and is not to be assigned reservations.

 

[OK], [Cancel], [Delete]:

If you would like to change your information click in the text box beside the item you wish to change and that information may be modified.

Click [Cancel] to abandon any changes made to this sales agent.  If a new sales agent was entered it will not be placed into the system if this option is chosen.

Click [OK] to update any changes made to this sales agent.  This option saves a new sales agent or any changes made to an existing sales agent.

Click [Delete] to delete this sales agent.  You should not delete a sales agent that is assigned to reservations.

       The system will return to the first prompt after you click on[OK], [Cancel] or [Delete].
