Status Codes

 

An "A" reservation is the standard full commission reservation.  Someone calls, wants to stay in a unit and you book them a reservation.  The reservation is charged for the rental plus any taxes and the owner is charged the "A" commission set in the control file or the unit file.

 

A "B" reservation is an owner-referred reservation.  An owner calls and has secured someone to stay in his unit.  The guest is charged the rental amount plus any taxes and, typically, a lower commission is charged the owner since he secured the guest, although it could be higher or the same.  The commission percentage charged for this type of reservation is the "B" commission set up in the control file or the unit file.

 

There are two types of "C" reservations, neither of which is charged a rental fee.  The standard "C" reservation is when an owner is staying in his own unit and requests you perform a cleaning when he leaves, thus incurring a departure cleaning charge.  The variation of the "C" reservation, called a "CY" reservation (for "Yes" charge the fee) is used for when a friend or guest of the owner is staying in the unit.  The owner is charged the cleaning fee and a coordination fee that is set in the control file or the unit file.  The coordination fee is a flat charge to the owner for handling the check-in and checkout of his guest.  The coordination fee and cleaning fee can be charged to the guest when the reservation is made.

 

A "D" reservation is used when an owner is staying in his unit and is going to clean the unit himself.  This type of reservation does not incur a cleaning fee and is not reported on the cleaning reports or the owner’s statement.  There is never any money associated with a "D" reservation.

 

An "E" reservation is a long term rental.  These reservations are entered using the Process Tenant Reservations option on the Long Term Rentals Menu, which is an option from the Reservation Menu.  The unit you are booking the "E" reservation into must have its rental status set to long term or both, you cannot book "E" reservations into a unit set for short term reservations.  The monthly rental rate is set when you create the tenant using the Process Tenant Reservations option from the Long Term Rentals menu.  No taxes are charged for this type of reservation.  The "E" commission fee is charged the owner.

 

The Reservations option from the Main Menu takes you to the Reservations Menu where reservations are made.  The Reservation by Search option only allows you to make "A" reservations.  This option asks you for the arrival date, departure date, the number of adults, the number of children and the type of unit you are looking for.  All available units that match your request (except long term units) will be displayed.  You would then pick a unit and proceed with the reservation (refer to the Screens chapter for detail). 

The Reservation by Requested Unit can book all types of reservations except the "E" long term reservation.  The owner reservations ("B", "C" and "D") are booked using this option because you know the unit number that is being booked (the owner is booking his own unit) so there is no need to search by unit characteristics.  "E" reservations are made by choosing the Long Term Rentals option from the Reservations Menu.  This option takes you to the Long Term Rentals Menu.  You may search for availability just like you can for short term units; however, you must use the Process Tenant Reservations option to set up the tenant and book the long term reservations.
