Tape Chart

 

This screen allows you to:

View existing reservations for all units for 39 days at a time, book reservations, change reservations and view reservations, guest and payment details for a single reservation when it is clicked on the tape.  Many filtering options for viewing are available.

 

Before you begin:

Select the Tape Chart option on the Reservation drop down menu or the icon from the Navigation Menu. 

 

Item descriptions:

 The Unit ID is a fixed column to display.  The following choices are available to display one at a time on the row with the unit ID:  Address, Sleeping Accommodations, Owner Info, Phone numbers and type of unit can all be displayed.  Section, Location and user defined search fields may be displayed one at time in the unit ID row.    Reservation details can be viewed at a glance by picking a booked date on the calendar.  The reservation, guest and payment details will display at the bottom of the screen.

<Year>, <Month>, <Week>:

These controls with the back arrow < allow you to view one year earlier, one month earlier or one week earlier than the date displayed.

 

The controls with the forward arrow > allow you to view one year ahead, one month ahead or make the starting date on the tape chart calendar one week later than the date displayed.

 

Starting Date:

The calendar day of the first date on the tape chart is displayed.  A new date may be entered to change what the tape chart displays.

 

Search, Go:

Enter search criteria, for example a reservation number and press enter and the tape chart screen will display that reservation entered.

Filtering Options

Click the upside down triangle/filtering options button to begin applying filters that may include arrival and departure dates, Unit Attributes such as number of bedrooms, section and locations, and User defined search values.

 

Includes or Does not Include Reservation Archive Data:

Click this link to include archived data on the screen if "Does Not Include Reservation Archive Data" is displayed.  This is helpful when looking at past reservations that may already be archived to see history.

 

The show legend link:

Pops open the key to the color codes: 

Paid in full = green

Partially paid = orange

No money paid = red

No payment necessary = navy blue

Payment required = light blue

Maintenance Block = gray

 

Reservation Details icon:

This button looks like a magnifying glass to the right of the reservation number.  Click it to go to the reservation view screen.

 

Guest Details icon:

This button looks like a magnifying glass to the right of the guest name.  Click it to view and change information on the guests mail record.

 

Payment Details:

Payment details of what is due and the total amount paid display and are color-coded.  Text is not dynamic but to go to the payments screen go to the Reservation Details icon and then select payment to post a payment to the reservation.
