User Designed Letters

 

This option takes you to the User Designed Reports Menu.  This menu allows you to create or modify your custom letters.  When first receiving the system, you must go here and set up the letters you intend on using.  It is usually best to draft the letter first and then enter it into the system.  Refer to the Reports Chapter for detail information on each letter.

 

There are two basic modes of operation in maintaining your letters.  First is entering a new letter.  After you have drafted your letter and are ready to enter it in, choose the selection on the menu corresponding to the letter you wish to enter.  If the letter does not exist you may select custom letter. 

A custom letter may be a reservation form letter, owner form letter or guest confirmation or guest license that is for a specific house. The custom confirmation and custom guest license letters are assigned in the unit file in place of your standard confirmation letter or your guest license agreement. 

 

The second mode of operation is editing the letter. Choose the Report Body button to open the letter and begin editing the letter.
