This screen allows you to:
Select a Note File to work with.
Before you begin:
Choose the Notes Files option from the File Maintenance Menu.
Notes can be created, printed, changed or deleted for Reservations, Units, Mail list entries, Owners and Workorders Select from the Notes Files menu which of these files you wish to work with. Once selected, the system will go to the Notes entry screen for the appropriate file requested. After you make your selection, to confirm you have chosen the correct file, look on the title bar at the top of the screen. The name of the file should match the selection you made on the Notes File menu. System Notes are automatically entered and are for read-only purposes.

Select [Current], [Archived] or [Cancelled] Reservations.
Only the Reservations Notes will give you these options.
Enter information to find the record you would like to attach the note to….
Retrieve the record to attach a note to by the appropriate method.
For a Reservation Note: reservation #, name, namez3 or namez5.. or [Exit]:
The field will be replaced with the reservation number.
Unit Files Note:
If you are adding a note in the unit file, you will use the unit number or property address.
Mail File Note:
You may use the name or zip code to find the record you wish to attach a note to.
Owner File:
Enter the owner name or number to call up the record you want to add a note to.
Work orders File:
Enter the number of the work order.
Click the [Exit] button to exit this screen and return to the Notes File Menu.
Select [View All], [Category View], [Reconcile Criticals], [Non-critical to critical], [Add a Note], [Modify Notes] or [Exit]:
This is a select prompt. Select the option you wish to perform. The following describes the prompts asked when an option is selected.
[View All] will display all existing notes, in a List Display, for the record currently displayed.
[Category View] will prompt for a category to view and then only show notes that match the category requested.
[Reconcile Critical] will display in a List Display all notes, for the record shown, that have their critical status set to yes. You may then select the note to change or select finished when done. You will be prompted whether to reconcile the note (set to not critical). Enter your initials when prompted.
[Non-critical to critical] will display in a List display, all notes, for the record shown, that have their critical status set to no. You may then select the note to change or select finished when done. You will be prompted whether to set the note to critical and for your initials.
[Add a Note] allows you to attach a note to the current record. You will then select the category for the note. Highlight the category on the category select list and click with your mouse or hit your <Enter> key. You must select [Yes] or [No] whether the note is critical or not. Enter the text for the note in the textbox next to the field labeled ‘Text’.
[Modify Notes] allows you to change existing notes. You can view all notes or only notes of a particular category. The notes will be displayed in a List Display. After selecting a note the system will display the note and ask the modification prompt and for your initials.
[Exit] will return you to the Notes Menu.
