This screen allows you to:
Make a selection from the Utilities Menu.
Before you begin:
Read the Utilities section in the Concepts chapter.
Be careful with this menu, there are several options that should only be used once a year.
Do not run the Upgrade Mailing List File, Upgrade Unit’s Date File or Reset 1099 Report File without completely understanding exactly what you are doing.
The User Designed Reports option is a sub-menu and displays all of the custom letters used by the system.
To make a selection click on the desired letter with your left mouse of use your movement keys and press enter when the letter you choose is highlighted.

Allows you to add new units to the system. This option will create a date record for the new units and insert the units search fields into the search matrix. A Unit must be fully created in the Unit file under Files before it can be added to the system.
Allows you to change the entries in the search matrix for a particular unit. Even though you enter the values in the Unit file, you can not change these entries in the Unit file. You must use this utility if, for example, a two bedroom becomes a three-bedroom unit after remodeling.
Allows you to delete units no longer in the rental program. This option will remove the unit’s date record and remove the unit’s search fields from the search matrix.
Allows you to purge the mailing list file. This option will delete entries in your mailing list file. Deleted entries can only be recovered by restoring a backup. Be sure your choices are correct before continuing with this procedure.
Allows you to remove an old year of reservation date information and create a new year of reservation date information. This option should only be run once a year. Do not run this option except once a year and only at the beginning of a new calendar year. This option can only be reversed by restoring a backup. Do not run this option until you are sure it is what you want to do.
Allows you to remove old entries in the archive files.
Allows you to export general ledger transactions to a standard ASCII text file. This file could then be imported into other software systems.
Allows you to access the User Designed Reports menu. This menu allows you to enter and maintain your custom letters and reports. Refer to the Utilities section of the Concepts chapter for assistance with these letters.
