This screen allows you to:
Select a Resort Management System option to perform.
Before you begin:
The Resort Management System Main Menu Bar appears automatically after you have initiated the system, entered your User ID, possibly entered a password, entering a date is optional. If no date is entered RMS will use the computer date. It is in the standard menu bar format of Microsoft Windows with a Navigation Menu and icons for quick and easy access to commonly used screens.
To exit the Resort Management System, select [Exit], then [Exit System] from the menu bar. Then press <Enter> or click on [Cancel] for the User ID prompt when at the OPTIMUM Screen The "Close" option (X) at the top right corner of the screen can be used to exit the system back to the User ID prompt from the main menu and from some other screens. If the screen you are exiting requires you to use an Exit option from the top tool bar menu, the (X) will be grayed out, or disabled.
Hosted users should always exit RMS and then close their remote desktop session.
Item descriptions...
This option will display the Reservation Menu. This menu allows you to book reservations, change reservations, cancel reservations, view reservations, view unit availability, update the unit cleaning status, order equipment for reservations, post other charges to reservations, post reservation payments, block a unit for maintenance and enter owner charges, payments and accounting work orders.
This option will display the Accounting Menu. This menu allows you to access the General Ledger Menu, the Payables Menu and the Deposit Menu. Trust Reporting is also accessed from this menu as well as the ability to Credit or Debit an owner account, manage Owner Reserves, Post Recurring Fees, Enter Work Orders or Post Reservation Accruals. The Accounting Utilities option that is available allows access to some advanced accounting tools that may require assistance from AMS.
This option will display the Maintenance Menu. This menu allows you to log initial work orders, acknowledge and assign work orders, complete work orders, distribute work orders, view and print work order reports, cancel work orders, make a unit unavailable due to maintenance and post work orders to owner accounts.
This option will display the Main Report Menu. This menu provides access to the Reservation Reports Menu, Cleaning and Equipment Reports Menu, Unit Reports Menu, Owner Reports Menu, Management Reports Menu and the Custom Report Menu.
This option will display the Files Menu. This menu allows you to enter and maintain the company specific information in the control file, owner information, characteristic codes, unit information, unit inventories, equipment, amenities, charges, packages, chart of accounts, recurring fees, sales agents, mail list entries, state codes, key information, check comment codes, notes, vendors and time share owner information.
This option will display the Utilities Menu. This menu allows you to add or delete units from the system, change a unit’s search fields, delete a unit, assign sales agents to reservations, maintain your user designed letters, purge your mailing list file, prepare all units for a new calendar year, archive maintenance work orders, purge archive files, and export general ledger transactions.
Exit:
This option will exit to the OPTIMUM screen. To completely exit, you would then press <Enter> at the User ID prompt.
In addition to the normal HELP window, which you are viewing, this option will let you view the "About" information for the OPTIMUM Database where you can also check for updates, link to the RMS Website, link to Live AdvancedCare, View/Release RMS Locks and view System Notes information.
The OPTIMUM selection give you access to a System Functions Menu.
